Position Available: Accounts Payable Specialist

Job Summary:  

We are seeking a detail-oriented and organized Accounts Payable Specialist to join our team. The ideal candidate will be responsible for managing all aspects of accounts payable functions, ensuring accuracy and efficiency in processing invoices and payments.  The role requires strong communication skills to coordinate with vendors, internal departments, and management to resolve discrepancies and ensure timely payments.

Essential Functions, Roles, and Responsibilities: 

  • Process invoices, expense reports, and payment requests accurately and in a timely manner. 
  • Match invoices with purchase orders and receiving documents to verify accuracy of billing information. 
  • Review and reconcile vendor statements, resolving discrepancies as needed.
  • Prepare and perform weekly/monthly payment runs, ensuring adherence to payment terms and schedules. 
  • Communicate with vendors regarding payment status, inquiries, and discrepancies. 
  • Collaborate with procurement and receiving departments to resolve issues related to purchase orders, receipts, and invoices. 
  • Maintain accurate accounts payable records and documentation, both electronically and in hard copy. 
  • Assist with month-end closing activities, including account reconciliations and accruals. 
  • Support internal and external audits by providing necessary documentation and explanations. 
  • Contribute to process improvement initiatives to streamline accounts payable procedures and enhance efficiency. 
  • Stay informed about changes in accounting regulations and compliance requirements relevant to accounts payable processes. 

Job knowledge, Skills and Abilities: 

  • Will train the correct candidate. 
  • Strong understanding of accounting principles and practices. 
  • Proficiency in accounting software (QuickBooks) and Microsoft Excel.
  • Excellent attention to detail and accuracy in data entry and record-keeping.
  • Ability to prioritize tasks and manage time effectively to meet deadlines.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with vendors, colleagues, and management.
  • Analytical mindset with problem-solving skills to identify and resolve discrepancies.
  • Ability to work independently with minimal supervision and as part of a team.
